Study Abroad Information for Faculty

Faculty-led study abroad programs are developed and offered through a partnership between academic departments and colleges and the Office of Study Abroad. Faculty interested in leading programs abroad are also encouraged to review the Standards of Good Practice for Education Abroad. The Study Abroad Rules and Procedures Committee reviews proposals for faculty-led programs twice a year (October and April).

Required Faculty-led program proposal materials:

1. Letters of support from college dean and department head
2. Budget sheet and payment schedule (download Excel file)
3. Tentative itinerary
4. Faculty-Led Program Proposal Form

Faculty-led program deadlines are:

• For May and Summer programs: October 1
• For Fall and Winter programs: April 1.

The Office of Study Abroad and Nationally Competitive Scholarships award grants every year to faculty interested in conducting a site visit with the purpose of determining if a specific destination is appropriate for a faculty-led program. If selected, a faculty member can use the funds to travel to the destination to evaluate program feasibility, assess for health and safety, vet local contacts or program providers, and other tasks related to the program development.

THE DEADLINE TO APPLY IS NOVEMBER 1. 

Faculty traveling with students must follow the following institutional requirements for international travel: 

1. Complete a Request for Foreign Travel form for all travelers (link to WT Intranet).
2. Complete an NOA for all university employees traveling in an official capacity.
3. If there will be a travel cash advance, please submit it with the Request for Foreign Travel and NOA.
4. All students traveling will need to complete a student travel manifest (link to WTAMU Student Travel).
5. Send NOA and Request for Foreign Travel for signatures to department head and dean. If there is a travel cash advance, send it with other two documents.
6. Once the forms are signed by department head and dean, send all forms to Brandy Pacheco in Provost’s office. Brandy will send the documents on to Richard Smith in Risk Management for approval.
7. Richard Smith will send Brandy the directions for each traveler to complete once approved.
8. Brandy will send all travelers the information from Richard to complete before departure.
9. Brandy will have Dr. Terry sign the travel forms and send on to Purchasing.

International travel forms and NOAs must be completed at least three months before departure.

The Study Abroad Rules and Procedures Committee will review and revise existing policies for the West Texas A&M University Study Abroad Program. The Committee is comprised of faculty members representing the University’s colleges, the director of Study Abroad and Nationally Competitive Scholarships, and the coordinator of Study Abroad and Nationally Competitive Scholarships.
