Creative Request Forms

Start Your Project with the Office of Communication and Marketing (OCM)

General Guidelines for All Requests:

  • Departmental Approval
    Before submitting your request, ensure you have received any required administrative or supervisory approval and have a valid University account number available for billing purposes.

  • Content Accuracy
    It is the client’s responsibility to review and approve all design proofs. Please check spelling, facts, and layout details carefully. If a proof is approved with errors, the client is responsible for any resulting reprint or production costs.

  • Final Proofing
    A final proof will be provided for your review prior to production. Please allow time for careful review and final sign-off.

  • Estimated Timelines
    Most projects require 10–15 business days from submission to completion. Complex or high-volume projects may take additional time. Please plan accordingly.

  • Cost Responsibilities
    Design services are provided at no charge upon completion of a request. However, clients are responsible for all outside production costs, including printing, postage, or specialized materials.

  • Printing Procedures
    In accordance with University procurement policies, all printed materials must be ordered through the WT Print Shop. This includes brochures, flyers, business cards, posters, promotional items, and event signage.

  • OCM vs. Print Shop
    If you need design or layout assistance, begin with OCM. If you are requesting a reprint of an existing file with no design changes, you may contact the Print Shop directly.

  • Intellectual Property
    All materials designed by the WT Office of Communication and Marketing are the intellectual property of West Texas A&M University. Designs created in-house should be fulfilled with WT Print Shop and will not be released to outside vendors without prior written consent from OCM, and such consent must be granted before engaging the vendor for production.

  • Non-Response Policy
    To ensure timely service for all departments, requests with no client response within 14 business days will be removed from the active production queue.

The Office of Communication and Marketing follows WT procurement procedures and reserves the right to enforce University brand and style guidelines as well as accessibility guidelines on all materials.

Press Release Request

The Office of Communication and Marketing uses multiple methods to pitch stories to journalists, including phone calls, personal emails and news releases. We distribute releases to local, regional and national news outlets, as appropriate.

Please complete this request form to have a news release or a social media post about an upcoming event, accomplishment, research or announcement. News and Social Media releases require a minimum of five working days to be completed. Please note that Communication and Marketing reserves the right to recommend alternative means of sharing your news if an alternative seems more appropriate.

If you have written a draft news release or your funding agency or partner institution has prepared a release, please email it to cchandler@wtamu.edu or upload it on the request form.

If you are requesting a news release regarding an event, this form should be completed at least two weeks in advance of the event, so the release can be distributed to media at least a week prior to the event.

Make sure to list all students involved, along with their respective hometowns, so releases can be targeted to their home media outlets.

Horizontal photos are highly recommended for every release. You may upload them on the request form or ask us to take one in the “special request” area of the form.

Print Shop Orders

Located on campus, the Print Shop is here to serve the printing needs of the University.

Need official stationery, business cards, envelopes, flyers, brochures, posters, promotion products or other printed materials?

All campus printing and promotional product orders must go through the WT Print Shop to ensure cost-efficiency, brand consistency, and compliance with University standards, copyright and licensing.

Most projects can be completed in-house using our upgraded equipment and wide range of services. If a project is too large, specialized or outside of your budget to complete internally, the Print Shop will coordinate with approved vendors through a competitive bidding process to ensure the best quality and pricing. In alignment with WT procurement procedures, departments are not permitted to contact external vendors directly.
