PS-4 Personnel Termination

Statement
Information Resource access is revoked upon termination of employment within 24 hours.
Applicability
This Control applies to all West Texas A&M network information resources. The intended audience for this Control includes all information resource owners, custodians, and users of information resources.
Implementation
It is the responsibility of managers, account sponsors, and Human Resources to notify IT as soon as feasible in the event of an employee termination or the need to revoke guest access.
Upon termination of employment or the end of guest access, IT shall disable information system access within 24 hours.
It is the responsibility of managers, account sponsors, and IT to retrieves all security-related organizational information system-related property issued to the employee through a checkout process that requires departmental and IT signoff.
The University my conduct exit interviews based on human resrouce policies and procedures.
Upon request from the applicable management, IT will provide the appropriate personnel with access to email, files and other electronic records created by the terminated employee that are stored on WTAMU information resources for a limited amount of time as needed for business continuity purposes.
Access can be extended based on sufficient business need or for legal requirements/holds. Requests should document a justification for the extension and the length of the requested extension for evaluation and approval by the ISO and CIO.
